An Easy Explanation of the Differences Between Proofreading and Copy Editing: Basic Knowledge for Writers
The Work of Proofreading and Copy Editing 1
The terms "proofreading" (kousei) and "copy editing" (kouetsu) are often used together when referring to the task of checking text.
They are similar words, and some may think they are the same thing, but
in fact, their roles and the scope of their checks differ, so it is important to understand them correctly and use them appropriately.
In this article, I will explain what proofreading and copy editing are, and the differences between them, in a way that is easy for beginners to understand.
*In addition to generally known definitions, this also includes my own opinions based on experience.
What is Proofreading?
Proofreading is the process of correcting errors in the notation of a text.
It mainly checks the following points:
Typos and omissions
Errors in okurigana (kana suffixes) and kanji
Inconsistencies in notation (e.g., "Web/web", "homepage/HP", etc.)
Mistakes in numbers, symbols, and punctuation
Proofreading is a process that does not delve deeply into the content of the text itself, but rather confirms whether it is written correctly as Japanese.
What is Copy Editing?
On the other hand, copy editing is the process of checking the accuracy and validity of the content of the text.
Copy editing covers the following points:
Factual errors (names, years, data, etc.)
Contradictions in content or logical leaps
Expressions that may mislead the reader
Inappropriate or inaccurate phrasing, and compliance checks
Because copy editing is performed after understanding the meaning and background of the entire text,
it is a process that requires specialized knowledge and reading comprehension.
Explaining the difference between proofreading and copy editing in text
If I were to express the difference between proofreading and copy editing in one word,
proofreading is "checking characters and notation," while copy editing is "checking content."
Proofreading has the role of refining the surface of the text,
while copy editing confirms whether the content itself is correct and reliable.
Therefore, for books, academic papers, web media, etc.,
high-quality text is completed by performing both proofreading and copy editing.

Summary
Proofreading is the task of correcting typos, omissions, and notation errors.
Copy editing is the task of verifying content, including factual accuracy.
The difference between proofreading and copy editing lies in the scope of the check: whether it is notation or content.
Nowadays, there is an increasing demand for proofreading that goes beyond the basics to achieve higher precision and quality, such as requesting suggestions for factual errors noticed during the proofreading process. Understanding each role and fulfilling the requirements of the task is the first step toward creating readable and reliable text.
