"I missed the daycare notification email!" | AI and "Systematizing Gmail to never miss a thing"
I messed up this morning 😢
I missed the daycare notification email, leading to a forgotten item →2 round trips...
But hey, a mom in her late 30s doesn't just give up here.
Since I already stumbled, I decided to organize my Gmail with AI, and...
Checking my daily emails has become blazing fast and stress-free.
Does AI seem difficult?
If you thought that, don't worry!
Even an average mom in her late 30s like mewas able to do it ✨
🔄Before (Me back then)
Inbox was a mess
Daycare emails buried under newsletters
Hundreds of unread emails made notifications meaningless
Important emails getting lost
Even when I wanted to check, it felt like a chore, so I put it off...
🌈After (Now, organized with AI)
Important emails appear instantly with labels
Daycare emails are just one tap away from the home screen
Unnecessary newsletters cleared out, keeping things tidy
Morning email checks are now stress-free
Actually, I want people who use Gmail "just because," like I did, to see this!Gmail is something you should definitely check out!
1. The trigger: I missed an email from daycare!
I messed up this morning 😢
I missed the daycare notification email and ended up forgetting something.
As a result,I had to make 2 round trips between daycare and home...
I had been thinking for a while that "checking emails never really becomes a habit."
Honestly, aren't emails hard to read and annoying to open?
In my case, the causes were like this ↓
All emails were jumbled together in the same inbox
I keep trying to reduce newsletters, but for some reason, they keep increasing.
Too many unread emails are piling up, making notifications meaningless.
……That's it, I have to do this.
I decided to take this opportunity to organize my Gmail while consulting with AI.
2. Setting it up while asking AI questions
I will introduce the steps while including my actual interactions with the AI.
*Please note that the steps may differ slightly depending on your environment.
If you're already doing this, please quietly close this page here 😂
If you'd like to kindly watch over my struggles as a person in their late 30s, please stay with me.
Here we go!
↓ I asked, "My Gmail emails are hard to read, so I want to sort them into folders".

I see, I see 💡
First, create labels, right. I can do it from the app, huh.
I immediately opened the Gmail app on my phone, but I can't find 2. "Labels"...?
↓ I asked why there are no labels.

Wait, I can't do it from the app?! Lol
Pulling myself together, I'll do it from my computer 💻

I followed the steps in the red box and created several labels such as "Nursery School" and "Work".
↓ Asking for the continuation again.

However, I couldn't figure out where the input for 1.→2. (the red line part) was...
↓ I asked.

It's from Gmail's "Settings".
When I followed the steps I was taught, the input screen below opened.

Paste the address you want to filter into the 'From' field and click 'Create filter'.
Then the screen below opens, so I'll try labeling emails from note as "note label".

I checked the three boxes and pressed "Update filter," and successfullypast emailswere all sorted too 🙌
I did it---✨
After this, I sorted other emails in the same way.
3. Thoughts after organizing
Anyway, my emails have become overwhelmingly easier to read.
In particular, by labeling important emails, I can now see at a glance which emails are unnecessary.
Following that, I took the plunge and organized (unsubscribed, deleted, blocked) the unnecessary emails!
My inbox is now clean, and I even feel lighter mentally✨
And above all, even if just a little, I feel like I
"understand how Gmail works now"
. (Well, just a little bit... maybe lol)
4. Useful suggestions from AI
Finally, the AI taught me this handy trick👂

"If I set this up, could I view nursery school emails with one click?"
I thought, and decided to try it out on my phone right away.

Following the steps provided, a shortcut was added to my phone's home screen👏
From here, I can access nursery school emails with one click.

It doesn't seem to show the number of unread items like an app, but I'm still very satisfied◎
The stress of "Where is the nursery school email?" has disappeared, and I've also succeeded in saving time checking them.
5. Summary🖊
I struggled a bit along the way due to differences in specifications, but
by making good use of AI, I was able to quickly solve "little hassles" and save time in my daily life.
There seem to be many more useful features, such as turning notifications on/off or setting emails to be marked as read automatically, so I plan to continue refining things by asking AI as needed.
And what I used this time was "free AI".
Even so, I was able to improve things this much✨
If you haven't used AI yet, please feel free to ask it questions without any pressure.
The great thing about AI is that it will keep up with you no matter how much you ask (lol).
Thank you so much for reading until the end!
"This setting is also convenient", "It's even more efficient if you use AI like this", etc. I would be happy if you could let me know in the comments.
And "likes" are also a great encouragement🌸
