What is the Asset Sync Queue in Pardot?

Over the past few releases, Pardot have made big moves to transform the marketing assets we manage in Pardot (forms, emails, landing pages, campaigns) into Salesforce records. What this has meant, is that marketing assets have to sync from Pardot to Salesforce (and vice versa) through the Salesforce Connector, just like Prospect records do.

You may have already stumbled upon the Asset Sync Queue in Pardot, or maybe not – but knowing about this can answer syncing mysteries.

Where is the Asset Sync Queue?

The Asset Sync Queue is part of the Salesforce Connector for Pardot. To view how many assets are queued to be synced, go to:

Pardot Settings → Connectors → cog icon next to the Salesforce Connector

You can see exactly which assets too, by clicking into that dropdown menu:

Which Pardot Assets Sync – and why?

Connected Campaigns

Putting a stop to the age-old confusion on the difference between Salesforce Campaigns and Pardot Campaigns, Connected Campaigns are managed in Salesforce and sync to Pardot as read-only records.

When setting up campaigns, it can sometimes cause a little blip in your Pardot flow, I often hear:
“Why do my Salesforce Campaigns take so long to sync to Pardot?”

Now, you can check this yourself, and figure out if you just need to wait a few more minutes, or whether you need to correct another error.

Marketing Assets as Objects

Without meaning to repeat myself, Pardot have made big moves to transform the marketing assets we manage in Pardot into Salesforce records. These assets include:

  • Emails
  • Forms
  • Landing Pages
  • Files
  • Marketing Links (aka. Custom Redirects)
  • Snippets

By associating these assets to a Connected Campaign in Pardot, they are automatically related to that Campaign in Salesforce, visible in related lists:

Engagement Reports in Custom Reports Types

Marketing assets syncing from Pardot to Salesforce (and vice versa) allow us to access the assets and their prospect engagement data in Salesforce reports; for example, we can pull a Salesforce report based on form submissions and data relating to those leads (see: “How to Build a Pardot Landing Page Overview Report in Salesforce” for a flavour).

Question Marks on Sync Time

To my knowledge, there is no specified sync SLA (duration) for asset sync. After using Pardot for some time, you will get a feel for your own Connector sync load, and be able to judge; for example, I know that I should leave a 10-minute timeframe for a Connected Campaign to appear in Pardot.

In terms of prospects, the syncing processes 400 prospects at once (400+ records are grouped into ‘batches’) – this works out at roughly 12,000 prospect records an hour.

Summary

The Asset Sync Queue remains a fairly unknown addition to the Salesforce Connector, but can be very useful for troubleshooting asset sync delays between Salesforce and Pardot (and vice versa); this is one posts that I have been meaning to write for a while for this exact reason. Now, you are equipped to check this yourself, and figure out if you just need to wait a few more minutes, or whether you need to correct another error!
