[Notion] For those who want to manage AI subscription expenses! (Publicly available for free)

📩 Notion template now available!
I would be happy if you could check it out from the page below!

Before I knew it, my AI tools had increased.

ChatGPT, Claude, Notion AI, image generation, transcription, and development support tools.

Looking at them one by one, they are all things I subscribed to thinking, "Well, I guess I need this."

But at one point, I wondered.

How much am I paying for AI every month right now?

I couldn't answer that right away.

・I can tell if I look at my credit card statement.
・I can tell if I open the management screen for each service.
・If I create a table in Notion myself, I can organize it.

But if you ask me if I'll actually do that every month, I probably won't.

So, I created an "AI Usage Organization Template" to review AI tool subscriptions all in one place in Notion.

The goal is not to record AI tools in detail.

It is to keep only the subscriptions that are worth continuing to pay for..

AI tool billing becomes hard to see after a while.

Perhaps because expectations for AI are high when signing up, the cost doesn't feel that heavy at the time.

・"It's cheap if it makes my work easier!"
・"I might be able to use it for my side job too!"
・"Let's just try the free trial!"

Things I added with that mindset gradually increase.

If it's only things I'm using properly every month, I think that's fine.

The problem is that subscriptions I haven't used much lately get mixed in.

For example, when subscriptions like these get mixed in, AI billing becomes blurred.

・Left subscribed but unused
・There are other tools with similar uses
・I don't remember the renewal date for annual payments
・Kept just in case I use it someday

Are you paying for things you actually use?

Are you just keeping them because you feel vaguely uneasy about canceling?

I created this template because I wanted to make this visible for once.

What you can do with this template

With this template, you can organize the AI tools you use in one place.

You can enter the tool name, category, monthly/annual cost, usage frequency, importance, next renewal date, and more.

The information you enter is organized in a way that is easy to review on the dashboard.

Dashboard screen

It is not just about listing "what you are subscribed to," but also

a template designed to help you think about what to keep and what to reconsider.

Points to pay special attention to

1. Total monthly cost

First, look at how much you are paying every month for the AI tools you are subscribed to.

Just seeing this number makes it feel much more real.

You might be paying more than you thought.

Conversely, if you are using them properly, it might be an amount you can justify.

Either way, you will be able to see it in numbers rather than just a feeling.

2. Cost by category

AI tools often have overlapping purposes.

Writing, research, summarization, code generation, image generation, transcription, and information organization.

Because they can do so much, you often find yourself with an increasing number of tools that serve similar roles.

When looking at them by category,

  • they lean toward writing-related tools

  • development support is expensive, but I am using it properly

  • I have a subscription for image generation, but I have barely used it lately

you can see biases like these.

Tools you might want to keep when looking at them individually become easier to evaluate when viewed by category.

3. Candidates for cancellation or plan review

This is the core of this template.

It is not about wanting to blame yourself for things you are not using.

However, if you leave unused subscriptions as they are, money will simply leak away.

For example, these kinds of contracts are candidates for review:

  • Low usage frequency

  • Low importance

  • Left active while unused

  • There are other tools with similar purposes

  • Annual payment renewal is approaching

Conversely, I believe you should keep things you use every day or that are beneficial to your side job or work.

This is not a template for cutting everything to save money,

but a template for keeping subscriptions that have a reason to be kept.

4. Check next renewal date

Annual payments and free trials always come when you've forgotten about them.

Even if you remember the day you signed up, you usually forget the renewal date.

And then, after it renews, you think, 'Oh right, I was subscribed to that...'

This is quietly painful.

Since you can enter the next renewal date in the template, just looking at it once a month makes it easier to make decisions before renewal.

Especially for those using annual AI tools, I think it's worth organizing at least this much.

A calendar where you can see the next renewal date at a glance

Why I want people who can make their own tables to use the template

If you are used to Notion, you can create a table yourself.

Write the tool name, write the amount, write the renewal date, and write the usage frequency.

You can do that much.

But it takes surprisingly more effort to make it easy to review.

・Separate monthly and annual payments.
・Calculate the total only for active subscriptions.
・Make review candidates easy to see.
・View costs by category.
・Make it easy to check renewal dates.
・Separate input and confirmation screens.

Trying to build this yourself takes up time in a subtle way.

Moreover, there is no point if you just finish it and feel satisfied.

I designed this template so that it can be used from the start with the flow of Input → View → Decide to keep/review in mind.

It is for people who want to spend their time deciding which contracts to keep, rather than building tables.

I think it suits these kinds of people

This template is for people who use multiple AI tools.

I think this is especially suitable for the following people.

・Those who have multiple AI tool subscriptions like ChatGPT or Claude
・Those who use AI for side hustles or creative work
・Those whose AI tool payments are gradually increasing
・Those who cannot immediately answer how much they pay each month
・Those who tend to forget renewal dates for annual plans or free trials
・Those who want to manage contracts in Notion but find it troublesome to build from scratch

Conversely, if you only subscribe to one AI tool, you might not need this yet.

When your contracts start to pile up and you feel it's time to organize them.

This is a template to use at that exact moment.

How to use

The usage is simple.

  1. Duplicate the template

  2. Add the AI tools you are using

  3. Enter the monthly/annual cost, usage frequency, importance, and next renewal date

  4. Check the total monthly cost on the dashboard

  5. Review candidates for cancellation

  6. Decide what to keep, what to cancel, and what to change plans for

You don't have to fill it out perfectly from the start.

First, just enter the AI tools you can remember right now.

It is enough to just enter them one by one while looking at your credit card statement or App Store subscription list.

Once you do that, you will likely find something like, 'Oh, I haven't used this lately.'

This is a template for finding that one item.

It's a free template!

This AI Usage Organization Template is released as a free template.

What I want to convey in this article is,

that "you should properly visualize your AI billing at least once."

Furthermore,

  • if you find it troublesome to create a table in Notion yourself

  • if you want to see the monthly total and candidates for review from the start

  • if you want to finish organizing your AI tool contracts today

  • if you want to use it as a page for monthly reviews as is

I would be happy if those who thought this way would use the template.

You can get it here

First things first

Think about how much you are paying for AI tools every month right now.

If it didn't come to mind immediately, it is worth organizing.

You can also summarize it in Notion yourself while looking at your credit card statement.

If it's too much trouble to create it from scratch, please use this template.

AI tools are powerful instruments if used properly.

That is why, instead of just paying for them aimlessly,

I want to keep it in a state where I am properly paying for what I am using.

I would be happy if this template could be the catalyst for that review.
