[AI Side Hustle] How I Reduced 6 Hours of Tax Filing Prep to 30 Minutes with an Expense Management System

Receipts pile up in my wallet.
I think about organizing them at the end of the month,
but I just leave them there.
Before I know it, I'm doing it all at once
right before tax filing season.

Until recently, I also
spent a lot of time
entering expenses.

I would spend about an hour every month
manually typing the contents of receipts

First, I consulted AI about what I wanted to do

The first thing I did
was not to decide on a procedure.
It was to consult Claude directly
about what I wanted to do and what I was struggling with.

When you connect Claude to Google Drive,
it reads the files inside
and helps you organize them.

I told it:
“I want to manage expense receipts
without letting them pile up.”
“I want a system I can continue
next year and the year after.”

It then proposed a structure
that separates folders by year and month.

I had a rough idea
of the structure in my own head.
But when it actually laid it out for me,
it was a design that looked further ahead
than what I had imagined.

I realized something here.
Rather than deciding on the answer myself before asking,
consulting firstmakes it easier to arrive
at a better solution.

Looking at the AI's proposal,
I only add my own opinions
where necessary.
Since changing to this order,
I spend less time feeling lost.

My current expense management method

The workflow now that the system is in place
is very simple.

When you receive a receipt,
take a photo with your smartphone on the spot
and just put it
in this month's Google Drive folder.

Then, at the end of the month,
just say to Claude,
"Please handle this month's expenses."

It will then categorize and write them
into a spreadsheet
in a format compatible with accounting software.

The key point here is that
having it in a format compatible with accounting softwaremakes
everything much easier
later on.

All you have to do before filing your tax return
is export the entire year's data
as a CSV from that spreadsheet
and import it into your accounting software.

Work that used to take 6 hours
now finishes in 30 minutes.

Even the monthly tasks
that used to take an hour
now finish in about 10 minutes.

The time saved can be put toward my main business.

It's not that expense tracking itself
has become fun.
It's just that
the time that was taken up by this busy work
can now be directly applied to my main business.

If I save 12 hours,
I can write several articles,
and I can also move forward
with preparations for new courses.

Tasks you are bad at or
tasks you don't feel like doing
are worth consulting an AI about.

There is no need to
think of the perfect procedure
before you start.
