Report on the "AI Public Relations Practice Course for Council Members" [Almost Weekly Ayako Cafe Radio Episode 215]

On June 4th, I served as an instructor for the "AI Public Relations Practice Course for Council Members: Strengthening Information Dissemination Power - Latest Edition," hosted by the Local Manifesto Promotion Federation.

Event flyer

The event was held in a hybrid format, combining an in-person venue with an online stream, and was attended by many local council members from across the country.
We discussed topics such as drafting council questions, council public relations, social media dissemination, and case studies on the use of generative AI, leading to lively exchanges of opinions both in the venue and online.

As a report on this event, I have released "Almost Weekly Ayako Cafe Radio Episode 215."

I talk about the content covered in the course, my interactions with the participants, and my own thoughts on AI utilization, so please give it a listen.

Held a Generative AI Public Relations Practice Course

This course was hosted by the Local Manifesto Promotion Federation.
This is the third time I have served as a training instructor on AI utilization.
It was a very lively training session, with many questions coming not only from those attending in person but also from those participating online.
I would like to thank everyone who participated once again.

Why Generative AI for Public Relations Now?

Even looking at just this past year, generative AI has evolved significantly.
Using tools like ChatGPT and Gemini, more people are now:
・Assisting in drafting council questions
・Summarizing text
・Drafting greeting messages
・Generating images
On the other hand, what is important is not "using AI" itself.
I feel that we are entering an era where the question is "how to master AI."
This concept is common across government, private companies, and council activities.

Council Questions and the Use of Generative AI

In the course, I also introduced the process I personally practice for creating council questions.
① Theme setting and reading materials
② Organizing points and adding information
③ Reflecting my own question style
④ Creating an outline and a draft of the questions
⑤ Reflecting the results of meetings with the administration
⑥ Finalization through additional research and brainstorming with AI
What I value is the idea that:
"ChatGPT does not create the questions; rather, the council member refines the content they have researched and thought about through dialogue with AI."
I believe it is important to use AI as a partner for thinking, rather than leaving everything to it.

Council Public Relations and Information Dissemination

In my council activities, I disseminate a lot of information, such as:
・Council reports
・Note articles
・YouTube scripts
・Radio scripts
・Social media posts
By utilizing AI, the efficiency of organizing information and creating drafts is greatly improved.
Of course, I perform fact-checking and final decision-making myself.
However, AI demonstrates great power in the task of organizing researched content and summarizing it into a communicable format.

Introducing Methods for Creating Portraits, Activity Reports, and Flyers

In this course, I also introduced image generation AI and flyer creation.
The training materials were about 50 pages long.
I included many practical examples of image generation and flyer creation using AI.
Recently, the performance of illustration creation and design assistance has improved significantly, expanding the scope of its use for information dissemination in council activities.

During the lecture, some participants even created their own caricature characters and shared them on the spot.
In addition, I received many questions regarding:
・Creating parliamentary questions
・Image generation
・How to use different AI tools
and more.
After the training, I also received social media posts and messages saying,
'I tried it out right away!'
I am very happy that they were able to put what they learned into practice immediately.

AI is a powerful partner to support parliamentary activities

What I wanted to convey consistently throughout this course is that
'AI is not a replacement for a council member, but a partner.'
Listening to the voices of the community.
Seeing the situation on the ground.
Identifying issues.
Thinking about policy.
These are roles that council members themselves should take on.
On the other hand,
・Research assistance
・Organizing information
・Drafting documents
・Disseminating information
In these areas, AI becomes a very reassuring partner.
I believe it is important to utilize AI while distinguishing between the parts you leave to it and the parts you think through yourself.

Conclusion

Through this training, I once again realized the high level of interest in using AI for parliamentary activities and information dissemination.
I am considering making this a series in the future.

I would like to express my sincere gratitude to everyone who participated, and to everyone at the Local Manifesto Promotion Federation who worked hard to organize this event.
I will continue to research and share information on how to use AI to help with parliamentary activities and information dissemination.
