[AI Middle School Entrance Exam] I stopped manually entering cram school schedules this year. It took 2 minutes after giving the photos to Claude
Every year after the exam season in February, cram schools release their annual syllabi and curricula for the next grade level. The schedule for the whole year is packed. In our house, we manage the schedules for cram school and other extracurricular activities using Google Calendar, but manually entering them was a tedious annual chore.
This time, I will introduce a way to use Claude to register them into Google Calendar in an instant. Moreover, it can even tell you 'what you should study this week'.
In this article, I will summarize how to use it and some application ideas.

No special app installation is required. You just need the following two things.

💡 What is Claude?It is a type of 'conversational AI' similar to OpenAI's ChatGPT. Based on text and images, it thinks and responds like a human. A key feature is its ability to integrate with Google Calendar and Gmail, making it the most suitable AI for this application.
STEP 0: Connect Claude and Google Calendar (first time only)
This is a setting you only need to do once at the very beginning. Once this is done, Claude will be able to automatically read and write to your Google Calendar from then on.
📌 PointThe mechanism that allows Claude to use other services or apps to input and output data is called a"connector"in Claude. Connectors for various services and apps, not just Google Calendar, are available.
How to set it up
From the menu on the left of the Claude screen, select 'Customize' -> 'Connect apps' and then select Google Calendar. The Google account authentication screen will open, so please log in to Google and grant permission to access your calendar. Once 'Connected' is displayed, the setup is complete.



📌 PointOnce the connection is set up, it is not needed again. Even if you have multiple calendars (for family, school, cram school, etc.), you will be able to access them all at once.
What to do first after connecting: Check the calendar list
Immediately after connecting, try asking Claude, 'Show me the list of calendars I can register to.' If the Google Calendar connector is correctly connected, all the calendars in your account will be displayed.

📌 PointDeciding in advance which calendar to register to will make subsequent operations smoother. If you don't want them registered to your main calendar, create a new calendar to register your child's schedule.
STEP 1: Scan/photograph the schedule and give it to Claude
Once you are ready, let's actually register the schedule. This time, as a test, I will register the annual schedule I received from school into Google Calendar.
If you received the schedule on paper, scan it with a scanner or take a picture with your smartphone to make it an image file (with enough clarity to recognize the text).
Open Claude, upload the scanned schedule in the chat screen, and try talking to it as follows.
This image is the school's annual schedule.
Please register all the events listed here into the 'Children's Calendar' on Google Calendar.
Please include 'Automatically registered by Claude' in the description field for each event.
Please set the reminder for the day before.


Claude will read the scanned schedule and register the events while confirming them.
*Since the time slots were not listed in this schedule, the time slots were not registered in the calendar either.

📌 Point If it is an important event, it is better to check for yourself on Google Calendar to see if it has been registered correctly. (Naturally, AI can also make mistakes!)
Also, before having it registered to the calendar, it is good to have it list the read schedule to confirm that it has read the schedule correctly.
Calendar color-coding rules: Management techniques for a glance
As the number of schedules increases, it becomes difficult to distinguish between 'Is this school? Or cram school?', so deciding on color-coding rules will greatly improve the visibility of the calendar.
For example, the following rules:
🔵 Blue
School events, regular tests, etc.
🟫 Brown
Cram school tests, seminars, mock exams, etc. (Children's schedule)
🟡 Yellow
Cram school parent information sessions, individual interviews, etc. (Parents' schedule)
Other settings
By specifying the following items in the prompt, you can make detailed settings for the events. If the title and time slots are listed in the schedule document, Claude will read them and set them.

Reminder (popup notification the day before, etc.)
Repeat rules (every Monday, etc.)

Let's try giving instructions with a prompt like the one below.
Please register the weekly cram school class schedule from the attached image into the 'Child's Calendar'. Please follow the rules below.
[Repeat settings] Register weekly classes as repeating until the end of the fiscal year (March 31, 2027)
[Location] Enter 'Waseda Academy XX School' in the location field
[Color] Red
[Reminder] Pop-up notification only at 8:00 PM the day before

After registration is complete, please tell me the number of items registered and the date and time of the first and last events.
STEP 2: Use the registered calendar as the AI's 'memory'
Registering to the calendar is not the 'goal', but the 'start'.
Claude can refer to the calendar in real-time. In other words, once you register it, you reach a state where 'the AI always knows the test schedule'.Using this state, you can utilize it in the following ways.
Application Example 1: Checking this week's and next week's tests
'Do I have a test next week? What subjects?'
Claude will check the calendar and answer, 'You have a math test next Thursday.' You can check it on your smartphone in 30 seconds, even while getting ready in the morning.

Application Example 2: Creating a weekly study plan by counting back from the test date (Most important!)
This is a more practical way to use it. By combining the test schedule with your child's progress, the AI will automatically assemble 'what needs to be done this week'.I plan to introduce how to create study plans in a separate article, but if you tell Claude to 'refer to the Google Calendar schedule', it is possible to create a plan while understanding future tests and seminar schedules.
Summary
By using Claude's Google Calendar 'connector', it will register the schedules listed in schedule tables (files or images) into the calendar in bulk.
With this, you can leave the troublesome schedule registration work almost entirely to the AI. We just need to check if the schedule was registered correctly.
As I wrote in the article, having Claude manage the calendar is very convenient as it can be used for various applied tasks.
In our home, we apply it to various tasks such as creating daily study plans, reminders for school information sessions, and adjusting schedules for other extracurricular activities.
