Chapter 9: Principles of Communication
Question: "How can we eliminate 'assuming it was conveyed'?"
What you will gain in this chapter
A perspective that does not blame the "other party" when things are "not conveyed"
An essential understanding of both the "ability to convey" and the "ability to receive"
Concrete action steps to reduce misunderstandings
💬 The "I told them, but it didn't get through" problem
"I'm sure I told them properly..."
"Why don't they understand?"
These phrases are everyday occurrences both at work and at home.
However, in reality, there is a deep gap between "conveyed" and "understood."
🤔 Why does "communication" go astray?
The cause of the mismatch is not so much the words themselves, but rather
✅ The other party's prior knowledge
✅ The timing of the delivery
✅ The other party's level of concentration and emotional state
It depends heavily on the "situation of the receiver" such as these.
That is precisely why the "sender" must take responsibility for confirming whether it was actually understood.
📘 Principle: Communication is not complete until it is understood
'Communicated' does not mean 'finished'
Confirming 'how it was understood'
Repeating 'summaries' and 'paraphrasing' with the assumption of misunderstanding
These attitudes form the foundation of communication.
🛠 Practical Advice
✅ Create a culture of 'having the other person summarize what was communicated'
After important discussions, ask the other person to repeat back in their own words, 'How did you understand this?'
→ This alone will significantly reduce misunderstandings.
✅ Introduce the '3-Time Rule'
1st time: Verbal
2nd time: Chat
3rd time: Reconfirm in a meeting
By changing the channel and timing of communication, retention rates increase.
✅ Ask ChatGPT to 'check your communication'
If you ask, 'Is this sentence likely to be misunderstood by the other person?'
it can point out phrasing issues or ambiguities.
🔍 Questions at the end of the chapter
Have you ever had an experience where you failed because you 'thought you had communicated'?
What are the patterns when the other person is likely to misunderstand?
What habits do you have in your own way of communicating?
👉 Pose these questions to AI and
try to view your own 'communication style' objectively.
🤖 AI Experiment: I asked ChatGPT these questions
✅ Question 1: Have you ever had an experience where you failed because you 'thought you had communicated'?
AI's Answer:
'Assuming that "I said it" means "it was understood" is a cause of trouble. Proceeding without confirmation leads to misunderstandings later on.'
→ Realization:
There were many situations where I just settled for "thinking I had communicated it"...
👉 From now on, I will make sure to ask, "How did you understand it?"
✅ Question 2: What are the common patterns where the other party "misunderstands"?
AI's Answer:
'Frequent use of jargon, lack of background explanation, and unclear requests are likely to invite misunderstanding.'
→ Realization:
I was unconsciously speaking under the assumption that they "already knew"...
👉 Next time, I will keep in mind to explain it as if to someone hearing it for the first time.
✅ Question 3: What are my habits in how I communicate?
AI's Answer:
'Habits such as "putting the main point last," "being too abstract," or "explaining for too long" become clear through recording and feedback.'
→ Realization:
When I recorded myself, I found that my conclusion came at the end...
👉 I will incorporate "practicing speaking from the conclusion" into my daily routine.
🧠 Summary of the AI Experiment
By asking AI questions,
✅ Visualization of "reasons why it wasn't communicated"
✅ Clarification of "areas for improvement in communication"
were obtained.
The "power to communicate" is the "power to keep confirming."
Communication is not complete until it is understood was a point I strongly realized in this chapter.
