While online interviews are convenient because you can participate from home, equipment troubles can occur, such as Zoom or Teams not opening, audio not connecting, or being unable to enter via the URL.
It is quite nerve-wracking when trouble actually happens during an interview, but I felt that what is most important in such moments is to not stay silent and to properly communicate the situation.
This time, I have organized for myself how to respond if equipment trouble occurs during an online interview and I am late to join.
I would be happy if this serves as a note for my own job hunting, or as a reference for others who find themselves in a similar situation.
First, the most important thing is to "contact them no matter what"
When trouble occurs, I think the thing to avoid most is being late without contacting them at all.
From the perspective of the company conducting the interview, they do not know if you are late, if there is a connection issue, or if you are simply not coming.
Therefore, it is important to contact them as soon as you realize you cannot connect.
I think it is best to inform them immediately using whatever contact method you have available, whether it is email or phone.
The content you convey can be simple.

The fact that you cannot join due to equipment trouble
The fact that you are currently working on it
An apology
I feel it is better to prioritize making the situation understood rather than explaining it at length.
An email template you can send first
When you cannot join an online interview, I think email is easy to use as an initial contact.

When you cannot join an online interview properly, it may be resolved by restarting or trying to join again if it has only been a few seconds to a minute or two.
However, if it does not improve after about 5 to 10 minutes, I feel it is better to contact them by phone as well as email.
The company will likely feel anxious if they do not know whether it is a connection issue or if you are late without notice, so it is important to inform them directly as soon as possible.
Especially if the interview start time has passed and you still cannot connect, I think the impression will be quite different just by conveying the situation over the phone once.

If you are able to reach them by phone, it is reassuring to not only explain the situation but also confirm the following points if necessary.
Whether you should continue trying to connect
Whether there is an alternative URL or method
Whether the interview can still proceed as planned
Whether it needs to be rescheduled
As for how to ask, even a simple phrase like the following is sufficient.
“Should I continue trying to connect while I wait?”
“If there is another URL or way to join, I would appreciate it if you could let me know.”
If you do not know or cannot find the phone number
There may be times when you cannot find a phone number even after checking the interview invitation email or your personal page.
In that case, rather than struggling to keep looking, it is important to first contact them via an email address you can reply to.
For example, in many cases, replying to the interview invitation email is perfectly fine.
Even if you do not know the recruiter's individual email address, replying directly to the invitation email you received makes it easy to explain the situation.

Even if you manage to join successfully, I believe it is important to start by offering a brief apology rather than jumping straight into the interview.
For example, you can use a phrase like this:
“I apologize for being late to join due to connection issues.”
I think this alone makes a significant difference in the impression you leave.
Rather than making long, unnecessary excuses, it is more natural to apologize first and then shift your focus to the interview.
Template for an apology email to send after the interview
If you had connection issues during an online interview and were late for the start time, it is polite to send a short follow-up apology email after the interview.
You do not need to write a long message; content that conveys your “apology” and “thanks for the interview” is sufficient.

However, I feel that how you respond afterward is more important than the equipment trouble itself.
In job hunting, things don't always go perfectly, and unexpected situations can occur.
I realized that in such moments, it is important not to stay silent or panic too much, but to properly communicate the situation to the other party.
Online interviews are convenient, but communication issues and equipment malfunctions can inevitably happen.
That is why I think having contact information ready in advance and thinking through how to explain the situation during a problem can provide a different level of peace of mind.
