Just "30 minutes" of that investment creates 20 times the speed. Explosive work techniques to increase efficiency
"Action is everything."
Good morning. This is Zero.
This time, I'd like to talk about the secret to improving productivity.
I want to talk about outlines.
When you try to focus on your work,
you get asked for favors and lose time.
This is recommended for "the nice person you are"who gets asked for various things.

Well then, let's get started.
■ Progress management and outlines
This time, for the first time in a while, explosive work techniques.
It's a story about speeding up work.
I'd like to talk about outlines and micromanagement.
The reason work slows down.
It's mostly due to redoing work or leaving things untouched because you don't understand them.
Therefore, if a supervisor can manage well, the speed of work can be dramatically increased.
Points for a supervisor to manage:
Preventing redoing work.
Preventing neglect. If it's neglected, move it forward.
First, this neglect. If you leave things that are important but not urgent, they become urgent and important, taking up time to process.
Things that are important but not urgent.
However, if the difficulty level is high, you might leave them untouched because you don't know the answer or how to proceed right away.
You don't know who to ask.
You don't know what to ask.
In the meantime, daily routine work and urgent matters pile up, and you forget. You end up neglecting it.
Then, as the deadline approaches, it becomes urgent, and you have to do it in a hurry.
From a supervisor's perspective,
"You should have told me sooner."
is the situation they want to say.
However, it's a common story.
Manage this neglect well.
If you check progress each time,
"I'm looking into it now."
"It's progressing."
they answer.
However, in reality, it hasn't progressed and is stalled.
Why did they answer,
"It's progressing"?
You are worrying at your desk.
You are keeping it to yourself without asking.
Even if you aren't actually making progress,
it seems you were counting that time as progress as well.
This makes progress management meaningless.
I would like you to tell me that you haven't made progress when you ask.
However, if they would just tell me and report properly, I wouldn't have any trouble.
Let's create a system to prevent this situation.
■ Creating an outline
Create an outline when a task or job is assigned. If the outline is hard to understand, think of it as a workflow or a checklist.
Make a checklist of what needs to be done before the work is completed.
Example of an outline
In the case of a subsidy application
1. Check with the government office
Deadlines, eligibility, amount, format, submission method, etc. 2. Preparation of materials.
Division of roles
Create documents
Request to other departments
3. Confirmation of the application form.
4. Consultation with an expert.
5. Submission of the application form
6. Ordering and delivery
I don't really do work involving receiving subsidies. I thought of an outline on the spot, but I feel like it wasn't a correct example.
First, if you create this outline, you will be able to manage according to it.
Is 1 finished?
How far is the progress?
What is the reason why 2 cannot be executed?
You can check according to items like these.
With this outline, you can prevent delays caused by misunderstandings or assumptions, such as 'I didn't think I had to create the materials' or 'I thought someone else would do it'.
Also, since you know who is doing what, the division of roles reduces rework and duplication.
If it is the material preparation in 2,
it will be smooth if you break it down further and create an outline for material preparation.
This material is unusable.
Please redo it entirely.
That kind of wasted time will disappear.
■ Points to note about outlines
You cannot do it alone.
Create a checklist for your work yourself.
Check it and proceed.
You will soon stop checking it.
Be sure to have someone else check it. The supervisor creates the checklist and checks it. This is the easiest to understand and the easiest way to proceed.
However, if that is not available, hand the checklist you created to your supervisor and ask them to manage your progress.
Get help from others to manage it.
Create an outline and have them micromanage you.
Your work will become dramatically faster.
There will be no idle time, and work with a one-month deadline will be finished the next day. 20 days of work becomes one day.
Your work speed will increase 20-fold.
Work with a one-month deadline used to be left until the very last minute. That is the reality.
If you create an outline and get started early, you can finish it right away.
Creating this outline.
It would be perfect if the supervisor who assigned the work created it and managed it accordingly. However, I have never encountered that before.
First, let's create the outline yourself to build your skills.
It is faster to have your supervisor check it and align your understanding and assumptions before starting.
Let's set aside about 30 minutes at the beginning to create an outline.
These 30 minutes will produce a 20-fold effect.
Your work will change dramatically.
Let's create an outline.
However, I have never received a consultation asking, "Is this outline okay?"
People who create outlines and work
I have never seen anyone other than myself do it.
That might be the reality.
If you do it, things will change dramatically.
I hope you have a wonderful day today as well.
Let's enjoy it.
