Corporate security, operational convenience, and your personal information: A three-way dilemma

——Three business days after submitting the request, you still missed the deadline. There are surely many people who have had that experience.
We live in an era where installation is scary
Company computers are usually restricted from installing applications due to security policies. You cannot install anything without permission from IT. This in itself is a correct defense.
The troublesome part is that recently, another reason has been added to that "correctness." According to a survey by the security firm Kaspersky, since the beginning of 2026, attacks using fake installers (malware) disguised as popular generative AI tools like ChatGPT, Claude, and Gemini have surged, with approximately 33,000 cases detected targeting small and medium-sized enterprises between January and April alone—about five times the previous year. We live in an era where we must be suspicious of tools that seem good.
That is why web tools that do not require installation and can be completed entirely within a browser have become the preferred choice. Just open the URL. No need to apply to IT. For many working people, this is honestly a helpful option.
But I want you to pause for just a moment
There is one thing I want you to check here.
Where are you sending your files to with that browser tool?
Whether it is PDF conversion or image compression, many online tools claim to be "completed in the browser," but in reality, they upload files to some server for processing. It is surprisingly common that after avoiding the anxiety of installation, you are then met with the anxiety of uploading.
The three-way dilemma I have seen as an HR professional
Being in a position to receive consultations on tool selection as an HR and General Affairs professional, I always encounter the same structure.
Corporate security—Does it meet the standards that IT can approve?
Operational convenience—Can it be used immediately without an application?
Personal information protection—Are you sending customer or employee data to unnecessary places?
These three are rarely satisfied at the same time. If you prioritize security, the staff is kept waiting. If you prioritize convenience, you end up using tools where you don't know where your data is being sent. Someone, somewhere is making a sacrifice—that is the reality of this triangle.

In closing
Corporate security, on-site convenience, and the protection of personal information—none of these are wrong. In fact, it is precisely because they are all correct that you end up caught in the middle.
