How Using AI Changed My Subsidy Application Process—From the Perspective of an SME
"Subsidy applications seem difficult," or "It's impossible unless you hire an expert"—don't you think so?
I used to think that way too. But when I combined it with AI, the landscape on the ground changed significantly. Today, I will share my actual experience exactly as it happened.
First, let me be honest.
I am not an administrative scrivener or an SME management consultant. I am a practitioner who has experienced multiple industries, including construction, HR, and food.
However, I have experienced applying for subsidies many times, and by utilizing AI, I realized that the "barrier to application" is lower than I thought. I will share that experience on this account.
Before AI, the subsidy application process felt like this.
Subsidy application documents almost always require a "Business Plan." This is a tricky one—
Business background, issues, solutions, market size, revenue plan, schedule...
You have to write it in "language that resonates with the reviewers."
Trying to write it from scratch takes days. Many people don't know where to start and give up halfway through. I was like that myself at first.
Four things that changed with AI
POINT 01
The time it takes to come up with the "first sentence" has been drastically reduced
Staring at a blank Word document—that time has almost disappeared. Just by conveying the outline of the business in bullet points, a "draft" appears. All that's left is the task of refining it into your own words.
POINT 02
You can get "questions" from the reviewer's perspective
When I ask, "Where in this business plan are the reviewers likely to challenge me?" I get unexpected perspectives back. I am now able to eliminate "gaps" I wouldn't have noticed myself beforehand.
POINT 03
Creating revenue plans and schedule tables has become significantly faster
When I say, "I want to create a 3-year revenue forecast in Excel. The prerequisites are as follows," it provides a template with formulas. Calculation errors have also decreased.
POINT 04
I can now compare across multiple subsidies
I can also consult on "finding a subsidy that fits our business content." I sometimes notice options I had overlooked myself. However, always perform the final check on the official website (described later).
Passion is necessary for selection—but passion alone is not enough
What resonates with reviewers is the passion that says, "I will definitely see this project through."
However, passion is the foundation, not the whole story.
Only by backing that passion with "numbers" and "evidence" can you get closer to being selected.
AI is a tool that helps with that "supporting work."
I will be honest—things even AI cannot do
・Checking the latest application guidelines and deadline information (always check the official source)
・"Proxy submission" of application documents (this is an act that requires specific qualifications)
・Guaranteeing selection (no matter the level of completion, selection depends on the review)
・Turning a business plan without substance into "plausible-sounding" text (this is not only meaningless but also a risk)
AI is a tool to increase the "speed and quality of writing." It only functions when there is actual substance to the business.
Summary
The world of AI and subsidy applications is no longer "just for experts." We are entering an era where those with a high resolution of their business—that is, the managers and general affairs staff on the front lines—can apply in their own words.
This account will continue to share practical information to help you do just that.
